Why I suck at multi-tasking, and how I'm making it better

Something is rotten in the way how we manage tasks or use personal online task management tools.

Ever just try to keep a list of tasks? Or use one of the hundreds of to-do lists online? Yup. Me too. We've always failed miserable and stopped using the tool or system after a short time. Because fundamentally it does not map to our life.

If no, then what does?

We can only do one thing at a time.
Once you understand this, then everything changes. Why? Because there is no such thing as multitasking. Unless you have multiple cores like a CPU. But from what I understand about the human body, we just have one brain.

(He's multitasking)

Let's understand what happens when we try to multitask. That could be simple as cooking a meal, reading 3 books at once, or sitting at your desk doing 5 tasks at once.

You do one thing at a time, interrupt it and do a something else, then resume one of the things that you're working on.

Face it, in some cases you HAVE to do this, I'm not knocking it. For example cooking a meal is a delicate balance of starting all the dishes one after the other and monitoring and preparing each of them on the four burners of the stove.

But just like cooking those dishes, it's not multitasking. You're merely doing 4 things, one at a time.

So how does this relate to task management?

We can only do one thing at a time
My job is largely programming. I should be an expert at multi-tasking, right? Wrong.

I suck really really hard when I try it. Because just like other jobs, you do them well when you can focus on one thing at a time. You need to start something, do some of it for an uninterrupted period of time, then either Defer it, Delegate it, or mark it as Done.

Defer
You've started a task, but can't finish it. Defer it until another time. Tomorrow you wake up and see what you have to do. Or you look at your list and notice that you can't do the most important task there right now, Defer it.

(I have to Defer a lot of things this morning so I can spend some time with my kid at the stables)

Delegate
If you can't defer a task, and you can't finish it, you should Delegate or Delete it. Ask someone else to do it. For instance, almost everything I create at Travel Agency Tribes, I ask myself "Will this agent or employee come back to me to do something here?". If the answer is yes, I'm doing something wrong.

How much time would it take you to do that task? What is your time worth? Is is going to come back to haunt you later?

You'll need to systemize, then delegate. Figure out what the delegatee will need from you (instructions, materials, resources), then when delegating that task, write down the instructions (systemize), then finally hand off the task with instructions.

Done or Delete
Finally! Something you can do, or just can't do. We'll save some time here, if you can't do it or delegate it, then just Delete it.

My point is that your task list should just look like one long expandable column. It should grow or shrink, but its just one column with many rows. Some rows are taller and some shorter (tasks that take less time). And they're constantly being moved around as you Defer, Delegate or mark things as Done.

You don't have multiple columns of tasks.

You don't have separate task lists. Seriously you dont.

Because you can only do one thing at a time.

Woudn't that be better?
